Officer Job Descriptions
President – The responsibilities of this office include attending meetings and events. Main job is organizing and leading all meetings and activities. Specific tasks include:
  • Creating an agenda for monthly meetings and posting it on the LHS Beta Club Bulletin Board located outside room 23.
  • Creating and submitting to the Beta Club Sponsor the “Missed the Meeting” Notes. These are due the day before the monthly meeting.
  • Conduct monthly officer meetings
  • Organize committees, including convention committees
  • Contacting and setting up activities, getting approval of activities
  • Making sure that all other officers have completed their task
  • Attend all Club Service Events
 Vice President – The responsibilities of this office include attending meetings and events. The vice-president is expected to fill in for the President if he/she is unable to attend a meeting or function. Specific tasks include:
  • Maintaining and updating Beta Club Bulletin Board
  • Creating and submitting to the Beta Club Sponsors a yearly activity calendar. This calendar is to have events by semester.  The first semester activity calendar is due by the August Officers meeting.  The second semester activity calendar is due by the January Officers meeting.
  • Maintaining, organizing, and updating Beta Club Record Book
  • Updating and using “Remind” to text members of club events.
  • Chair at least one convention committee.
  • Attend all Club Service Events
 Secretary – The responsibilities of this office include attending meetings and events. The secretary is expected to fill in when the Historian is not able to attend meetings and functions. Main job is to record notes from meetings and the following specific tasks:
  • Maintaining and updating Beta Club social media account.
  • Maintain Beta Club Bulletin board with the help of the Vice President
  • Taking attendance at meeting/activities by use of attendance sheet.
  • Taking notes at meetings and reporting minutes from previous meeting
  • Email digital copy of the minutes from all officers meetings and all club meeting within one calendar week to the Sponsor.
  • Chair at least one convention committee.
  • Attend all Club Service Events
 Historian – The responsibilities of this office include attending meetings and events. The Historian is expected to fill in when the Secretary is not able to attend meetings and functions. Main job is to help in the collection and recording of items for community projects, and chronicle the activities of the LHS Beta Club. Specific tasks include:
  • Assist the sponsors in the collection items for community service, as well as report this information at club meetings.
  • Serve as a club photographer at events and collection of items.
  • Preparing news releases, including photos for the Club web page, the school web page, and the local newspaper.
  • Creating, submitting, and posting of club meeting notices and flyers. Due at least 1 week prior to monthly meeting.
  • Chair the scrapbook committee
  • Attend all Club Service Events
 Chaplain- The responsibilities of this office include attending meetings and events. The Chaplain must be prepared to be a friend to all members, new and old, who seek guidance or assistance in the club and life endeavors. Specific tasks include:
  • Preside over any invocation or inspiration speeches during meetings or events. This may also include patriotic proceedings such as the Pledge of Allegiance.
  • Act as an ambassador to area churches who may request our assistance in community service projects.
  • Chair at least one convention committee.
  • Attend all Club Service Events.
 Grade Level Representative- The responsibilities of this office include attending meetings and events. A Beta representative must be available to assist other officers as requested, and serve as a resource to members in need of encouragement. Specific tasks include:
  • Chair at least one convention committee
  • Attend all Club Service Events
 Ambassadors- The responsibilities of this office include attending meetings and events. A Jr Beta ambassador must be available to assist other officers as requested, and serve as a resource to junior beta sponsors and members in need of encouragement. Specific tasks include:
  • Maintain contact with jr club sponsors. Be available to help with induction, meetings, convention preparation, and community service projects.
  • Attend all Club Service Events
 ** At this time, officers meetings are held the Wednesday prior to club meetings at 3:00 pm in Room 23.
